WhatsApp for sales: how to organize customer service and follow-up without losing customers

To sell more on WhatsApp, a business needs a process, not just a phone number. The basics are: organize conversations by stage using labels, have ready-made answers for frequently asked questions, set up greeting and away messages and create a follow-up routine for people who asked for a quote and went silent.

For a large share of small Brazilian businesses, WhatsApp is the sales counter. The customer asks the price, goes quiet, and the conversation sinks among dozens of others. Most of the time the problem isn't a lack of interest. It's a lack of organization to pick the conversation back up at the right time.

This guide shows what to do with the tools WhatsApp Business already offers and when it makes sense to move up to a CRM with automation.

What does WhatsApp Business already offer for free?

The WhatsApp Business app includes features that many companies still don't use (WhatsApp Business):

  • Business profile: name, logo, description, opening hours, website and address.

  • Catalog: products and services with description and price, which can be shared in the chat.

  • Quick replies: shortcuts for the texts you repeat all day, such as prices, lead times, payment methods and location.

  • Labels: tags to organize contacts and conversations by status.

  • Greeting and away messages: automatic replies when a chat starts and outside business hours.

How do you organize conversations into stages?

Use labels to mirror your sales funnel. Fewer stages is better at the start. A simple example:

  • New contact

  • Quote sent

  • Negotiating

  • Closed

  • No response

Golden rule: every conversation needs a label and a next step. A conversation without a label is selling in the dark.

What follow-up script works?

Follow-up means getting back in touch with someone who showed interest and stopped replying. It isn't pushiness; it's service. A lean script with a friendly tone:

  • Same day: confirm the quote arrived and offer to answer questions.

  • Day 2 or 3: follow up with a useful reason, such as a deadline, a condition or a common question from buyers.

  • Day 7: ask, without pressure, whether it still makes sense or whether the timing has changed.

  • After that: label it "No response" and only reach out again when there is relevant news.

Example message for day 2 or 3:

Hi, [name]! Just checking whether you had a chance to look at the quote I sent. If you like, I can adjust the timeline or the payment method. Any questions, just message me.

Adapt the tone to your audience and avoid sending the same message to everyone.

When is the app no longer enough?

If more than one person handles customers, there are hundreds of conversations or you need reports, the app starts to hold you back. Signs it's time to move up:

  • Several agents need to see the same history.

  • You want automatic reminders for stalled proposals.

  • You need to know which channel your best customers come from.

  • You want an AI agent to answer the basics and hand off to a person when needed.

This is where the WhatsApp Business Platform (the official API) comes in, integrated with a CRM. One important rule: WhatsApp keeps a 24-hour customer service window, which opens when the customer sends a message. Outside it, the business can only start a conversation with message templates approved by Meta and with the customer's consent (Meta for Developers).

It's also worth remembering that, since January 2026, Meta restricts general-purpose AI chatbots on the platform. Business-focused agents for support, orders and scheduling remain allowed, and there should always be a clear path to reach a person.

We show how to set this up in the guide to AI-powered CRM for small businesses and in the article Como automatizar 80% do seu atendimento no WhatsApp sem perder a personalização (in Portuguese).

Frequently asked questions

Can I use my personal WhatsApp to sell?

You can, but it isn't ideal. WhatsApp Business separates professional contact from personal contact and offers a catalog, labels and quick replies.

Do I need permission to message customers?

On the official API, business-initiated messages require customer consent and, outside the 24-hour window, approved templates. On any channel, respect data protection law (LGPD in Brazil) and the wishes of anyone who asks to stop receiving messages.

Does automating customer service make the conversation feel cold?

Not if the automation handles the basics and hands off to a person when the conversation calls for it. The goal is to free the team to focus on those close to buying.

How many times can I follow up?

There is no magic number. As a rule of thumb, two to three useful contacts over a week tend to be reasonable; after that, only with relevant news.
